Position Objectives:
Practice Support serves as the first point of contact for patients calling their doctor’s office. This role is responsible for scheduling appointments, handling patient inquiries, and maintaining patient records. Practice support ensures the smooth operation of the office by coordinating communications between patients, medical staff, and insurance providers.

Key Responsibilities
Patient Interaction:
  • Provide information to patients and respond to inquiries regarding appointment schedules, billing, insurance, and other general office matters.
  • Verify and update patient demographic and insurance information.
  • Manage and resolve appointment conflicts and cancellations.
  • Maintain accurate and up-to-date patient appointment records.
  • Answer and direct incoming phone calls in a courteous and professional manner.
  • Assist with the preparation and management of patient records, ensuring confidentiality and compliance with HIPAA regulations.
  • Coordinate the receipt and distribution of incoming mail, faxes, and deliveries.

Insurance and Billing:
  • Verify patient insurance coverage prior to appointments and ensure all necessary authorizations are obtained.
  • Assist patients with understanding their insurance benefits and financial responsibilities.
  • Collaborate with the billing department to address patient billing questions and issues.
Qualifications:
  • Education: High school diploma or equivalent is required. Some college coursework or a degree in healthcare administration is preferred.
  • Experience: Previous experience in a medical office or healthcare setting is highly preferred.

Skills:
  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to multitask and prioritize tasks efficiently.
  • Proficiency in using electronic health records (EHR) systems and office software (e.g., Microsoft Office Suite).
  • Knowledge of medical terminology and basic understanding of insurance processes.
  • Ability to maintain patient confidentiality and adhere to HIPAA regulations.
